Ready-to-adapt wording
ARRIVAL → Welcome and registration SESSION → Agenda or presentation PDF BREAK → Return time or labelled timer CHANGE → New room or instruction FINISH → Thanks and next step
Example wording. Replace the bracketed details before displaying it.
Know what the event screen should show before the next group arrives. A short running order helps the team change the display at the right moment and remove information when it expires.
Use this as an organiser's plan for a conference, training day, club event or community workshop. It describes deliberate screen changes made by the person controlling the display.
Arrival and registration
Prepare a welcome with the event name and registration location. Keep the first screen readable from the entrance. Give the controller operator the final wording and the right PDF before doors open.
Once registration is no longer the main task, replace that screen with the next useful instruction. An arrival message should not distract people after they are already seated.
Sessions
Show the current agenda page, the next room or the selected presentation PDF. Note which file and page belong to each session so the operator does not have to search through several versions.
If the audience needs full presentation slides, use a complete PDF export and test its smallest labels. The presentation resource library includes a sample file for rehearsal.
Breaks
A short “Back at [time]” message or a labelled timer tells people what happens next. Keep the next room or seating instruction clear if the group needs to move.
When the break ends, return to the agenda or presentation through the controller. This plan does not assume unattended timed rotation.
Changes and the final screen
Give urgent room changes a short, explicit message. Update the source programme if it is also displayed as a PDF. After the last session, replace the programme with the final direction or thanks.
Keep a simple record of who controls the screen and where the latest files are kept. V U This uses a browser on the room's display and a separate phone or laptop controller; both need internet access.
